Getting Started with meetinginsight.ai

Set up meetinginsight.ai in three simple steps. Your documents will never leave your device.

Step 1: Install the AI Engine

First, install Ollama — the private AI engine that powers meetinginsight.ai. All AI processing happens on your device. Nothing is ever sent to the cloud.

What is Ollama?

Ollama is free software that runs AI models privately on your computer. meetinginsight.ai uses Ollama to analyze your documents without sending them anywhere. It runs quietly in the background — you won't even notice it's there.

Installation:

• macOS: Open the downloaded .dmg and drag Ollama to Applications
• Windows: Run the installer and follow the prompts

Once installed, Ollama runs automatically in the background.

Step 2: Download & Install meetinginsight.ai

Now download meetinginsight.ai — your private boardroom assistant.

Installation

For macOS:

1. Open the downloaded .dmg file
2. Drag meetinginsight.ai to your Applications folder
3. Launch meetinginsight.ai from Applications

On first launch, macOS may ask you to confirm you want to open the app. Click "Open" to continue.

For Windows:

1. Run the downloaded installer
2. Follow the installation wizard
3. Launch meetinginsight.ai from the Start menu

Step 3: Launch & Start Preparing

You're almost ready. Here's how to start:

1. Open Ollama — It runs quietly in the background
2. Launch meetinginsight.ai from your Applications folder
3. Create a meeting and upload your board papers
4. Ask questions about your documents

Create Your First Meeting

1. Click the + button in the sidebar
2. Enter a name for your meeting (e.g., "Q1 Board Meeting")
3. Optionally add a date and location
4. Click "Create"

Upload Documents

1. Select your meeting from the sidebar
2. Click "Upload Documents" or drag files into the window
3. Supported formats: PDF, Word (.docx), Text (.txt)
4. Wait for meetinginsight.ai to process your documents

meetinginsight.ai will automatically analyze your documents and extract key insights.

Start Chatting

Once your documents are processed:

1. Click the "Chat" tab
2. Ask a question like "What are the key financial highlights?"
3. meetinginsight.ai will answer based on your documents with citations

System Requirements

• macOS: Version 12 Monterey or later with Apple Silicon (M1/M2/M3/M4)
• Windows: Windows 10 or later (64-bit)
• RAM: 8GB minimum (16GB+ recommended for better performance)
• Disk Space: 10GB minimum

Note: Intel-based Macs are not supported.

Tips for Best Results

• Be specific — Ask targeted questions for better answers
• Use context — Reference specific documents or topics
• Check citations — Click source links to verify information
• Add notes — Capture your own thoughts and questions

Troubleshooting

Ollama won't start

1. Check that Ollama is installed (look for it in Applications on Mac or Start menu on Windows)
2. Try restarting your computer
3. Reinstall Ollama from ollama.com/download

meetinginsight.ai shows "Cannot connect to Ollama"

1. Make sure Ollama is running (check for the Ollama icon in your menu bar on Mac or system tray on Windows)
2. If not visible, launch Ollama manually from your Applications folder
3. Restart meetinginsight.ai

AI responses are slow

• Close other memory-intensive applications
• Larger documents take longer to process
• Performance improves with more RAM

Documents won't upload

• Check the file format is supported (PDF, DOCX, TXT)
• Ensure the file is not corrupted or password-protected
• Try a smaller file first
